How to Import MBOX files in Entourage

Entourage stores its mailbox data in MBOX file format. All data within a MBOX file is saved in plain text format.  Entourage provides a drag and drop feature for exporting the Entourage mailbox data to an mbox file. You need to simply drag the desired mailbox folder from Entourage onto your desktop or any other location/folder; this will create a standard format UNIX mbox file containing the selected data. This drag and drop method will only convert the email at the top level of the dragged folder, If you want to export all data within folder including the data within its all subfolders then you will have drag each subfolder  individually to export its data.
How to create backup MBOX files in Microsoft Entourage?
This drag and drop feature can be used as way for backing up message data. You can backup Address Book, Calendar, Tasks, or Notes folders using this feature. This is applicable only for message folders

You can simply use the drag-and-drop method for archiving or backing up the message folders.
Follow the given steps to backup a MBOX message folder:
1. Firstly, Resize the Entourage program window according to your convenience so that it would be easier for you to see your Apple Macintosh desktop.
2. Go to Entourage Folder List pane and select the folder that is to be archive in the.
If Folder List pane into visible then Go to View menu and click Folder List.
3. Drag the selected folder to Apple Macintosh desktop.
These will create a file with the same name as the dragged folder.

Note: You need to repeat this step for each subfolder, for which you want to create a MBOX file,
Drag and drop is a very easy method for creating a Backup MBOX file in Entourage. Now, if you want to access a backup file in Entourage then you must know the import and message procedure in Entourage.
Given below are the steps for Importing and Restoring Messages from MBOX File:
To open or restore an MBOX file to Entourage folders, use one of the following methods:
Method 1:
• Click "Applications"> "Microsoft Office"> "Microsoft Entourage" and start Entourage. Double-click the "Finder" icon to open the Finder window.
• Browse to your MBOX file backup.
• Double-click the MBOX file that is to be imported while Entourage is running.
• After double clicking the file you will be prompted with Confirmation dialog box, click Import on the confirmation window to import the data into entourage.

Note: If you double-click the MBOX file while Entourage is not running then, after double clicking the file the Entourage will start and then prompts you with the same import confirmation prompt.

Method 2:
• In the Import Wizard, click Import Information from a Text File, and then click Import Information from an MBOX Format Text File.
Whenever you rest a message folder from MBOX folder then entourage keeps both the old version and the restored version of the folder. It just adds a sequential number to differentiate between the old and restored data. For example, "Inbox" becomes "Inbox1" to show it is the restored version.
If you want to avoid the creation of folders in the Entourage with the numeric designation and don’t want to employ the MBOX folder then, follow the given steps:
For example, the steps below use the Inbox as the original location for messages to be archived.
first switch to that identity from which you want to archive messages
Create a new folder on your Desktop and give it the same name as Entourage folder that is to be archived.
Select all messages from the Entourage folder that is to be archived and then, drag the selected messages to the new folder on your desktop.
Now, Switch to the Entourage Identity where the messages are to be moved.
Select all the messages from the folder created on the desktop and then drag them to the Inbox or other mail folder in the identity.

You need to repeat the above steps for every message folder you want to archive and move to an identity .
How to import data in Entourage from other programs?
Entourage also supports data import from other programs such as accounts from other Apple Macintosh messages, and personal information management (PIM) software in Entourage.
You can import messages, addresses, rules, signatures etc from other programs into Entourage.

How to Import Data by Using the Entourage Setup Wizard ?
Whenever you install Entourage Setup for the first time then the Entourage Setup Wizard prompts you to import data at that time or may choose to import data at later time.
Consider the case when you want to import data from another program or file when you start Entourage for the first time,
First type your user information using the Entourage Setup Wizard.
Then select the desired option from the following import options:
Information from my e-mail program
Information from my personal information manager (PIM)  for example, contacts, calendar, tasks and notes
Information from both my e-mail program and my PIM
After selecting the import option, click the Next to proceed with the import process.
You can also perform some manual steps to Import Data into Entourage.
Follow the given steps to manually import data in Entourage:
1. Go to File then click Import.
This will open the Begin Import dialog box.
2. From the Begin Import dialog box, select the option for the desired program or file from data is to be imported.
3. click Next to proceed further to open the Ready to Import dialog box
4. Now, from the Ready to Import dialog box, select the desired items to be imported.
5. Click Next to finish the import process.
Entourage supports data Import from other email programs, PIM programs, and text and data files.
Entourage supports data imported from the below listed e-mail programs:
all versions of Microsoft Outlook Express
all versions of  Qualcomm Eudora
Claris Emailer version 2.0v3
Netscape Communicator 4.0 and later versions

Entourage supports data imported from the below listed PIM programs:
Now Contact
Palm Desktop
Now Up-To-Date
Claris Organizer

Entourage also supports data import from text and data file types. The supported files are: Tab or comma delimited text files and .mbox formatted text files

I hope this article will prove be helpful for you to gain basic understanding about the Import and Export process in Entourage.

You can easily Export the entourage data to MBOX file then restore it if required. But what if, you want to access the Entourage mail data into Outlook. As you must know that Outlook doesn’t support MBOX file format, In that case you will require some method that can convert the MBOX file format to the file format supported by Outlook. Here comes the need for MBOX to PST converter software. These let you perform an efficient MBOX to PST conversion, and the converted PST file can be easily imported and accessed into Outlook.

How to avoid Replication or Save conflicts in Lotus Notes?

As I have already discussed that In Lotus database, the same document in one copy of a database or in different replicas between replication sessions, can be edited by multiple users simultaneously.
For a deep insight about Replication or Save conflicts in Lotus Notes, go to my previous blog post entitled, “how to deal with Replication or Save conflicts in Lotus Notes”.

In current post, I am going to discuss the methods for conflict handling and ways to avoid conflicts.
Whenever a conflict occurs you can view your winner (main document) and looser conflict documents (response documents) that will be listed in the document column headers as Document 01 (Winner), Document 02 (Looser) etc. Right click the document-column headers to open the document context menu.
While resolving the replication or save conflicts in Lotus Notes the List Fields provides you to options:

The two menu items are:
  • Show this document in Notes.
  • Set this document as "Replication- or Save conflict" winner.
• Show this document in Notes. If you select the first option, it will launch the Lotus Notes document that is currently selected.

• Set this document as "Replication- or Save conflict" winner. If you will choose this list item then, the currently selected document is forced to be the winner among other conflict-documents and it will delete rest other documents participating in the conflict.

How to avoid replication or save conflicts
There can be two ways to deal with it:
1. Save Conflict can occur if the database is residing on a single a server and multiple users are accessing it so, its better to apply document locking in such case.

If the document is already open in editing mode then a lock will be implemented on it, and if some other user tries to open it for editing at that time then, the logic will restrict his access and will be informed that currently the document is being edited by some other user.

Once the current user finishes with document editing process, the document lock will be removed thus allowing other user to edit it.

2. But the case would be different from the above if the same document is shared between multiple servers .In such a replication conflict could occur if a user or server edits the same document. This locking concept will fail because the replica copies of the database are not aware of each other.
The best way to avoid this is by reducing the number of simultaneous access to the document. This can be done my limiting the access to the documents of different Readers- and Authors and keeping a consistent ACL (Access Control List) on the replica copies.

Note:
When you select File - Replication - New Replica, then a replica stub( an empty replica ) is created.
You can choose to populate this replica immediately with documents or can populate it at the next scheduled replication.
It can happen that you didn’t copy the ACL but still the new replica contains the ACL of the source server either if the ACL has been modified by someone before initial replication or there might be some synchronization issue with the server.
Avoid replication conflicts with the help of the database designer:
• Notes offers you several options to handle if a conflict occurs. The database designer allows you to enable the merge conflict menu item from the Form Properties.
By enabling this property Domino will automatically resolve the conflicts that have the differences are in different fields.

• The database designer allows you to enable versioning so that if a document is saved then a new version is created for each document.

How to prevent the conflict document from occuring?
  • The conflicts are stored as $ConflictAction item in the Domino document. Lotus offers different form options for dealing with the conflicts.
  • Whenever a document conflict occurs Lotus determines the "winner" and "loser" document.
  • The document that is most edited is designated as the winner document.
  • If all conflict documents are edited same number of times then the document that is saved last is designated as the winner document.
After determining the “winner" and "loser" document, Domino then, executes the conflict resolution procedure as follows:
• Create conflicts (no $ConflictAction item)
In this case the loser document is designated as Response document to the winner document (main document) and an item $Conflict is created

• Merge conflicts ($ConflictAction = "1")
If a document is being edited concurrently but the fields altered in each edit is different, then to avoid conflicts they are merged into a single document. If the same fields are altered a conflict is still generated.
• Merge/No Conflicts ($ConflictAction = "3")
If different fields in a document are altered then the documents are merged into in single document. But if the same fields are altered then, the loser document is deleted; only main document is kept in the database.
• No Conflicts ($ConflictAction = "2")
In this case the looser document is simply discarded and only winner is kept.

How to prevent Replication and Save" conflicts on the same server?
• If documents are on same server then its better to apply document locking to prevent Replication and Save" conflicts.
• You must always ensure that  you  aren’t running your scheduled agent on two servers concurrently
• Don’t use NotesDocument.save(...) in a querySave (or postSave without closing the form) event.
• Always keep track of your application flow to limit the current allowed editor with the help of Author fields/items. You can remove access in querySave and an agent altering access "on documents changed”.
• Check your forms: are there fields that are "computed" and changed by agents? You could/should set them to  "computed" and changed by agents
• All Those forms fields that are  "computed" and changed by agents, set them  to "computed" and changed by agents
• Use NotesDocument.computeWithForm(..) in agents only if you are sure that its the conflict source otherwise strictly avoid it .
• You should implement the inversion of logging pattern if you are having  multiple concurrent edits
• You should cluster your servers and avoid replication.

I hope this post will help you to deal with replication or save conflicts in Lotus Notes. To know more about,”document locking procedure in Lotus Notes” read my upcoming article. You comments and feedback are most welcome.

How to resolve Outlook error: “Unable to expand the folder” due to OST corruption?

Outlook OST file are also known as offline storage table. This file plays a vital role when you are using Outlook with exchange .Like other files these files can also get corrupted due to various reasons such as Exchange Server crash, virus infection, down Exchange Server, oversized OST file, etc.

Due to corruption the data within OST files turn unusable and in inaccessible. Whenever a user tries to access data from a corrupt OST file, He is prompted with several errors. Due to corrupt OST file user might also face several Exchange to Outlook synchronization issues

The below given is a common error messages that an Outlook a user faces when he tries to access a corrupt OST file:

Fix All Outlook Errors & Restore Mail Items with Microsoft Outlook OST Converter

Causes:
  • Incorrect Outlook email account settings.
  • Incorrect mail profile.
  • OST file corruption.
Resolution:

This error might be caused due to incorrect email account settings. In such case follow the given steps:
  • First make sure whether the Outlook email account settings are correct or not.
  • Then, check if Outlook correctly connects to your Exchange server or not.
  • Restart Outlook.
  • Click send/receive which will automatically synchronize the Outlook mailbox data with the Exchange mailbox.
If this method doesn't help you, then the error might be occurring due to incorrect mail profile, you must delete it and create a new one, as follows:

You can create the current mail profile delete it and then recreate it:

1. Close Microsoft Outlook.
2. Click Start>Control Panel.
3. If you are a Windows XP user (or higher versions) then, Click Switch to Classic View

8. Restart Outlook and let your Exchange mailbox re-synchronize with outlook mailbox

Hopefully, the above steps will resolve the problem.

If the above two methods, let’s give one more try .The error can also occur due to corrupt OST file then, you need to repair the corrupt OST file.

So, follow the given steps to solve the error:

1. Exit Microsoft Outlook application. (Also close any other applications that are accessing the OST file).
2. The next step is to find the location of corrupt OST file that is generating the error.
If the error message itself depicts the information about the error causing OST file you can easily find the OST file based on the information in the error message. If you are not able to do so then use the Windows Search function to search for the OST file.
3. Recover the offline data in the OST file with the help of OST Integrity Check tool
4. Create a Backup copy of the original OST file. So that, if something went wrong you can restore the data from it.
5. Rename or delete the original OST file that causes the problem.
6. Restart the Outlook application. Once Outlook is properly synchronized with the Exchange server it will recreate a new OST file automatically.

Steps to recover the OST file with the help of OST integrity tool:

Whenever the OST file gets corrupt then the user faces troubles while synchronizing the OST file with Exchange and prompted with several error messages. It may be possible that you can synchronize your OST file with Exchange but find many items missing from it.

You can use the OST Integrity Check tool to diagnose and repair the OST file synchronization related issues. It scan the corrupt OST file as well as Exchange server mailbox then,  compares the items on both mailboxes . If some differences are then, it records them in a scan log; you can see them and reconcile those discrepancies.

Before running the OST Integrity check tool ensure that your Outlook mail client is connected with Exchange.

To use the OST Integrity Check tool, you must connect to your Exchange account so that the tool can scan your mailbox folders and items. If you previously set up Outlook to start offline automatically, the OST Integrity Check tool will not be able to access your mailbox on the server running Exchange. Therefore, before you run the tool, you need to change your Outlook start-up settings temporarily.

Later on, if the issues still persists or you are not able to open the OST file then, run Inbox repair tool (Scanpst.exe) to repair the OST file. It will scan the corrupt OST file, diagnose the error and let you repair them with the help of the tool. It scans the file and makes sure that the file structure is intact.

Repair errors by using Scanost.exe

1. Close Outlook application.
2. Run Scanost.exe by double clicking the exe file.
Location of Scanost.exe: drive: \Program Files\Microsoft Office\OFFICE12.
3. If Outlook prompts you for a Profile Name then click your Profile name(profile that contains the .ost file). Click Connect if you are prompted to Connect or Work Offline
4. Click Begin Scan.

If you check the checkbox Repair Errors then the tool will automatically resolve the problems found during scan. If you don’t choose this option then it will create a log of the errors, you can find the log in Deleted Items folder of Outlook. Any problems will be noted in a message with the Subject "OST Integrity Check."

Steps to repair the OST file with the help of Inbox repair tool (Scanpst.exe):

1. Close Outlook application.
2. Run Scanpst.exe by double clicking
Location of Scanpst.exe: drive: \Program Files\Microsoft Office\OFFICE12.
3. If you know the exact path of the ost file to be scanned then, enter it in filename box or you can also search the ost file using the Browse option.
4. You can select the desired scan log options from the Options tab
5. Click Start to initiate the scan process
6. You can view the list of errors from the scan log and proceed further to resolve them. You can choose to backup the file before starting the repair process.
7. Click Repair.
8. Now, Start Outlook
9. Click Go>Folder List.

Here, you will find a folder named Recovered Personal Folders or a Lost and Found folder. You can find your recovered items in the Lost and Found folder .The Items that cannot be repaired will be missing from the Lost and Found folder

10. If you find a Recovered Personal Folders folder in the folder list then, you can create a new .pst file and drag the items from Lost and Found folder to it. Once all items have been moved you can permanently delete the  Recovered Personal Folders or a Lost and Found folder

The free inbuilt utilities Scapst.exe and scanost.exe easily helps you to resolve the issue. But if the corruption level is high then, these tools may fail to recover your data. In such situation don get hopeless, there are some alternative OST repair software available in market that works great to deal with all levels of OST corruption and synchronization issues.

Ways for an efficient PST file management in Outlook:

PST files are the backbone of Outlook. All Outlook mailbox data is stored in PST files. So, for proper functioning of Outlook mail client, PST management becomes a necessity.
If Outlook is connected with Exchange, in that case OST files are stored on local system and EDB files reside on Exchange server. OST files are exact replica of all outlook mailbox data that is stored on Exchange server in EDB files.
In this article I am discussing some ways to deal and manage Outlook PST files.

You may require the Backup PST files if:
  • You need to restore your data in case of PST corruption, data loss or some other reason
  • You need to move your Outlook data i.e. transfer data from one computer to another computer or transfer data from one hard disk drive to another hard disk drive.
Follow the given steps to backup a PST file:
1. Exit Outlook application.
2. Click Start> Run. Then run the command “control panel” to open Control Panel
3. Now, choose User Accounts  from Pick a category screen
4. Double-click the Mail icon then, Click Show Profiles.
5. From the listed profiles select your profile, and then click Properties.
6. Click Data Files.
7. Go to Name section. Here you will find your Personal Folders Service (by default it is named as Personal Folders), Select it. Click Settings, and then note the path and file name that appears.

Note: If you don't find any Personal Folders Service then, it means that you haven’t yet enabled the Personal Folders, in such case you need to create a pst file.
It might be possible that you have multiple Personal Folders Service in your profile; in that case you will have to backup each pst file separately.

8. Close all open windows.
9. Now, copy the Personal Folders (noted in step 7) to your desired location or any storage device.

The above steps will create a copy of your whole PST file data. If you like to backup only selected or desired folders form mailbox data stored PST file then, you can export the desired items to a new PST files and omitting the others that are not required.

Follow the given steps to export data from a PST file:
  • Go to File > Outlook Options then, click Advanced.
  • Click Export to open the Import and Export Wizard.
  • Click Export to a file option.
  • Click Next.
  • Select Outlook Data File (.pst).
  • Click Next.
  • Select your desired folder/folders that are to be exported to new pst file.
  • Click Next.
  • After selecting the folders to be exported, click Browse to choose a location where the new PST file is to be saved.
  • Type a desired name for your new pst file in the File Name box.
  • Click OK.
  • Click Finish.
Note: The above steps are for Outlook version 2010.

For earlier versions of Outlook, follow the given steps:

1. Open Outlook application.
2. Go to File > Import and Export.
3. Select the option Export to a file.
4. Click Next.
5. Select Personal Folder File (.pst).
6. Click Next.
7. Select the desired folder which is to be exported to new PST file.
8. Click Next.
9. Now, Click Browse to select the location for saving the new .pst file.
10.  Type a desired name for the new file in the File Name box.
11. Click OK.
12. Click Finish.

Using the above steps you can backup your PST file data. In case the PST file gets corrupt or data is lost due to some reason then, you can restore the Outlook mailbox data from the backup PST file.

Follow the given steps to import PST file into Outlook 2010:

1. Go to File >Open then, click Import.
2. Select the option Import from another program or file from the Import and Export Wizard.
3. Click Next.
4. Click Outlook Data File (.pst)
5. Click Next.
6. Browse the desired file that is be imported into outlook
If you remember the exact path of the pst file then, you can also type the path and the name of the .pst file instead of using Browse.
7. Click Next.
8. Select the folder that you want to import or select the top of the hierarchy if you want to import everything in the .pst file. However you can also make a selection by checking the items to be imported and un checking those which are to be omitted
9. Click Finish.

Note: If you want to import a PST file that is stored on a removable device then, don’t forget to clear the Read-Only attribute while copying the PST file to your system hard drive.

To import pst file data into earlier Outlook versions, follow the given steps:
1. Open Outlook application.
2. Go to File > Import and Export.
3. Select the Import from another program or file option.
4. Click Next.
5. Select Personal Folder File (.pst)
6. Click Next.
7. Browse the pst file that you want to import or Type its path and name and then click Next.
8. Select the folder that you want to import or select the top of the hierarchy if you want to import everything in the .pst file.
9. Click Finish.

These steps will import the selected PST file data into Outlook. Now, you can access it in Outlook and continue to work with it.

While creating backup of Outlook PST file, Outlook Address Book or contact list may not contain your all e-mail addresses and contact information. So, if you want to backup all your e-mail addresses and contact information then, make sure that you include the Personal Address Book in your backup process that is stored with a .pab extension on your hard disk drive.

If we talk about the need for creating additional or backup pst files then, the very first thing that comes in mind is PST file corruption. If the PST files get corrupt then, you can not access your valuable mailbox data stored within it. In such case you can restore the Outlook mailbox data from the backup PST file.

But if you don’t have any back up PST file then, you will require some PST repair method to extract and access data from the corrupt PST file. Microsoft provides a PST repair utility ScanPST.exe that is available free of cost. With the help of ScanPST.exe, you can easily repair the corrupt PST if the corruption level is minor. But this utility has some limitations and fails to recover the corrupt PST file data if corruption level is major and in several other cases too. In such case you have to search some alterative PST recovery solution to efficiently repair the corrupt PST file data.
