Getting duplicate mails in Outlook: Read this

Being an outlook user, you have to face duplicate mails in your inbox several times. If the emails are few in count then, it’s okay. But if there are a lot of duplicate emails in your Outlook inbox then, it may make you pierce off your hair. There can be various reasons that may cause Email duplicates in Outlook.

In this article I want to discuss the specific case when a user gets duplicate Email because of the reason that he is running multiple Outlook instances.

Whenever multiple instances of Outlook.exe are being run then, Outlook sends duplicate mail downloading requests to the connected POP3 server that leads the mail to be downloaded multiple times.

So, you must always ensure that you are running only one instance of Outlook.
Follow the given steps:

  • Open taskbar then Right-click and open Task Manager
  • Go to Start Task Manager >Processes tab
  • Click the "Image Name" column, this sorts the running processes in an alphabetical order that will make the searching easy for you.
  • Check if you are running more than one instance of Outlook.
If there is only one Outlook.exe listed in the list then its fine.
But if more than one Outlook.exe is listed in the list then there are chances of getting duplicate emails. So, to avoid that:
    • Right-click one of the "Outlook.exe" listings shown in the list
    • Click "End Task"
    • After clicking "End Task” confirmation dialog will be prompted.
    • Click "Yes" to confirm.
Now you are done.

It’s good if you take various preventive measures to avoid duplicate mails in Outlook.
But if in spite of that you have received duplicates Emails then, there are two options: either remove the duplicates manually one by one or search some automatic method for doing so.

Isn’t it clumsy if you have to repeat the same manual deletion process for thousands of mails? So, if the count of duplicates is higher then, it’s a wise choice to get some automatic Outlook Duplicate Remover software. The Outlook Duplicate Remover software provides various features that let you remove the Outlook Email duplicates in just no time thus, saves your valuable time as well as efforts.

Common EDB to PST conversion scenarios:

Exchange server stores all the user mailbox data in EDB file format. An EDB file is an exact replica of the OST file stored on user's local system. There can be several cases when you require converting the EDB file to PST format. The most common scenario is, “when you require accessing the Outlook mailbox data when no exchange is available”.

Some users might be thinking that if we do have OST file then, why we don’t convert the OST file to PST file. What's the use of converting EDB to PST?

Up to some point they are right but what if the user system got formatted or lost OST file due to virus attack, system crash or some other reason. In such situation user is left with no other option except getting his mailbox data fetched from EDB file. And this can be done by extracting that particular mailbox from the Exchange database by converting the EDB file to PST format.

Some Common EDB to PST conversion scenarios:
  • When the Exchange Server is down due to maintenance or some other reason. Then, the user mailboxes will be inaccessible. In such situation it’s better to convert EDB files to PST files so, that the users can continue working with their mailbox data. Thus, Exchange server shutdown will not hamper the usual functioning of the organization.
  • If you want to backup the Exchange mailbox data then, you can convert it to PST file format that can be kept separately as Backup database. This is usually suited when you don’t want to backup all Exchange data but want only selected mailbox to be backed up.
  • If you have some archived Exchange database file and you want to access it. Then you can do this by converting it to PST file format and access it directly into Outlook.
  • When you require (being an Admin.) the mailbox data for a single user then, you can simply do it by converting that particular mailbox form EDB database to PST file.
This might be the case when:
    • The user is being migrated to some other branch or leaving the organization and he wants to access his previous Outlook mailbox data somewhere else.
    • Also, the organization may require backup the mailboxes of ex-employees then, this can be done by performing EDB to PST conversion.
    • Being admin/higher authority you require the mailbox data of a single employee to keep track on or some other reason.
    • If the employee is going on a client location where no Exchange is available  then, admin require to convert his mailbox to PST file format that PST file can be given to him so that , he can access it anywhere simply by using Outlook.
The above discussed are the common situations when you require performing EDB to PST conversion.
You can convert the EDB file to PST file format with the Help of ExMerge utility. But sometimes it fails to perform an efficient conversion. In such situation you need to buy some full featured EDB to PST converter software.

There are a lot of EDB to PST converter software available in market. You just need to make an ample online search; you can find many software along with Demo version. Try the Demo version and if you are satisfied with the Output of the preview shown by Demo software then, there is no harm in buying the full version, after all it’s about your valuable mailbox data so, penny is not a factor to be considered.

What is AutoDiscover service in Exchange 2007?

AutoDiscover in Exchange 2007 is a Microsoft Exchange service that makes it easier to configure Outlook 2007 clients. AutoDiscover service is necessary for the user if he wants to use/access Microsoft Exchange features (i.e. Unified Messaging (UM), the offline address book (OAB), OOF and the Availability service etc.) on Outlook client.
With the help of AutoDiscover service the Outlook 2007 client retrieves the URLS for Exchange 2007 web services so, that the Outlook client user can access them.

How does AutoDiscover service work?

For domain-joined clients:
When Client Access server is installed on a computer running Exchange 2007, then Autodiscover service & service connection point (SCP) object are automatically created.

AutoDiscover: It is a virtual directory that is created in Internet Information Services (IIS) under the default Web site. This virtual directory handles AutoDiscover service requests for domain-joined clients.

The SCP object: It is an Active Directory object which contains the authoritative list of AutoDiscover service URLs for Exchange 2007. ServiceBindingInfo attribute of SCP object contains fully qualified domain name (FQDN) of the Client Access server (CAS).

Whenever a domain-joined client makes request for Exchange service then, service connection point (SCP) is used by Outlook client to locate the URL of AutoDiscover service and then, it connects to this URL. Once the client finds AutoDiscover service and establish a connection with it, then, URLs for other exchange web services are provided to the client by the AutoDiscover service itself.
Note: For each client access server a separate Active Directory entry or SCP is created.

For non-domain-joined clients:
Whenever a non-domain-joined client makes request for Exchange service then, AutoDiscover service is located with the help of user’s SMTP e-mail address.

The URL for AutoDiscover service in that case will be
https://<smtp-address-domain>/autodiscover/autodiscover.xml
Such as: https://company.com/Autodiscover/Autodiscover.xml
                                  Or
https://autodiscover.<smtp-address-domain>/autodiscover/autodiscover.xml.
Such as: https://Autodiscover.company.com/Autodiscover/Autodiscover.xml

Once the client finds the URL for AutoDiscover service and establish a connection with it, then, URLs for other exchange web services are provided to the client by the AutoDiscover service itself, the same way it does in case of domain-joined client.

You need to deploy the AutoDiscover service to access Microsoft Exchange 2007 features by Outlook 2007 clients. First you need to configure the Exchange services so that they can be accessed by users. After that you can configure the Exchange services for the AutoDiscover service.

So, to avoid the OAB download or synchronization issues you need to setup AutoDiscover for Outlook 2007.

  • While synchronizing the offline address list without cache mode enabled for the server.
You receive the following error message:

Cause:
When you use Internet Explorer and have proxy settings on the Outlook client computer then, you can face the above error message while synchronizing the offline address list.
To avoid this you must list the IP address of the Exchange 2007 Client Access Server (CAS) server in the exclusion list.
